Manage Members

ACEMAPP allows coordinators the ability to manage members by affiliation or rotation. The different member types are listed under the "Affiliation" and "Rotation" columns, which allow you to select how you would like to view them.

Selecting the appropriate Member Type under "Affiliation" will organize your member accounts alphabetically and indicate Pre-compliance.

Selecting the appropriate Member Type under "Rotation" will organize your member accounts by rotation status and indicate both Pre- and Post-compliance.

Step 1:

Decide how to view your members.

If you want to view pre-requirements (typically requirements set up by your organization), select the "Students/Faculty" under "Affiliation".

If you would like an overall picture of all items which affect member compliance, AND the member has been assigned to the rotation, then navigate to the specific member type by "Rotation".

Step 2:

Use the icons to see what is complete and incomplete. If any of the member's information displays a red X, then they need to complete an outstanding item. If there is a green checkmark, then the member is compliant.

Note: You may have to scroll your table to the right or left by using the scroll bar at the bottom of the table.

Compliance icons: Compliance icons show if members are compliant for each requirement/assessment for their specific rotation. If there is a red X, you may hover over it to view the specific item that is missing. If there is a green checkmark, then the student is compliant within that category.

Additional Management Icons Found In The Actions Column of Your Member Tables (Affiliated and Rotation):

Icon Description
Pencil Icon: image Edit button, pencil icon Edit student details such as access due date, access end date, email, and more.
Eye Icon: image View button, eye icon View student details such as general information, assessment history, requirements, rotation history, and tags. This is the members transcript in ACEMAPP.
Textbook Icon: image Textbook icon View and manage student requirement dates.
Document Icon: image Document icon View and manage uploaded documents.
Gear Icon: image Gear icon View additional management functions. These include the "ePortfolio", "Manage Affiliations & Programs", "Custom Fields", "Member Document Log", and "Assessments."

FAQ:

How do I know if the rotation roster has been sent?

From your "Rotations" table, there is a column labeled "Roster Sent". If there is a red X here, you can select the "Edit" (pencil) icon to view the student and see what is incomplete.

Can I email my students directly from ACEMAPP?

Yes, you may select the students you would like to email by clicking the checkbox next to their name. Then, go to the "Select" tab, and click "Email Selected".

Showing Member by Rotation - Why does a member show In-Progress in the table?

In-Progress shows that the member has yet to complete their Pre-Compliance Requirements (Profile, Pre-assignments, and membership).

Showing Member by Rotation - Why does a member show On-Hold in the table?

On-Hold shows that this member has yet to gain access to the rotation. The rotation will open up to them on a predetermined time before the start of that rotation.

Rotation Rosters
Rotation rosters are used to keep track of which members (students, faculty, etc.) will be attending each clinical site. The rotation roster gives the clinical site access to view member compliance records and profile data, in addition to the clinical rotation information, which is used for onboarding.
