Troubleshooting Case and Time Logs

This article provides tips to troubleshoot common issues with case and time logs. Please note that your organization determines case and time log settings.

Tip 1: Exporting Information

You can export a list of case and time logs by clicking the "Export" button and then the "Download CSV" button in the pop-up box. This will export the details into an Excel file for you to review all on one page.

Tip 2: Matching Encounter Date, Rotation/Course, and Preceptor Fields

Your case and time logs are connected based on the Encounter Date, Rotation/Course ID Number, and the Preceptor name.

These fields must match to connect your case logs to your time logs.

NOTE: If your organization does not manage logs with a Preceptor, you will not have the option to input a Preceptor.

Tip 3: Verify the Preceptor is added to your case and time logs

NOTE: If you do not have a Preceptor field, please skip this tip.

For Case Logs: Most case logs will allow you to update the Preceptor and the other fields anytime. Some organizations do not allow changes to case logs once they have been submitted.

For Time Logs: Once created, you cannot update the Preceptor on a time log. If necessary, delete any incorrectly completed time log(s) and create a new one with the correct Preceptor information. For instructions on deleting a time log, see tip 6

If you have multiple Preceptors, please ensure all your logs are submitted with the same Preceptor.

Tip 4: Verify Case and Time Log Submission (Log Status)

Make sure all case and time logs have been submitted for review.

The status for unsubmitted Case logs is "Incomplete" , and time logs show as "Pending." You can view the status in the navigation bar at the top of your case and time log tables. A notification will appear on your student home page for any incomplete case logs or pending time logs.

Tip 5: Verify the Time Indicated in the Log

You can review the total time you entered for each log from your case and time log table. Review the time to ensure the correct hours and minutes have been entered. If that time is incorrect, you must resubmit the log with the correct time and delete the incorrect log. For instructions on deleting a time log, see tip 6

Tip 6: Deleting a Time Log

If you entered in a time log incorrectly - the total time is wrong and/or the case logs attached are missing, then you will need to delete your time log and resubmit that log. To delete your time log, go to the Time Log tab, then the pencil icon for the time log you would like to delete, and then click the delete button.
