Getting Started with ACEMAPP

Welcome to ACEMAPP! This help desk guide provides an overview of navigating ACEMAPP and meeting compliance for upcoming clinical rotations.

Verify Email Address

Once your school has created your account, you will receive an email to verify the email address associated with your ACEMAPP account. You must verify your email before logging in. You can click the "Resend Verification" button in the acemapp.org login section if needed.


Log in to your ACEMAPP account

After email verification, you will receive an email from ACEMAPP with a link to set your password. Please check your spam/junk folder. If you cannot locate the Password Email, go directly to ACEMAPP.org, click Login, enter your email address, and select the 'Forgot Password" option to set a password. After logging in, you must agree to the FERPA consent, the Honesty Pledge, and the Terms and Conditions.


Complete your Profile

Profile completion is required and affects your compliance. This information is shared with administrators at your school and should be kept updated.

To update your account information, click your Name in the top-right corner and then click "Profile" from the dropdown menu. After you complete your profile, you will have access to your "Home Page".

Billing for Students

Some schools require students to pay ACEMAPP's membership fee.

If your school requires payment, click the "Make Payment" billing page. Once your membership is paid, you can access your "Student Home Page" to complete your assigned school and clinical site onboarding requirements.

If you encounter issues with processing a credit or debit card, please contact your card issuer or payment provider.

Requirements

Each school and clinical site has different requirements.

Your school and clinical site requirements are under the "Requirements" area on your home page.

Incomplete Requirements:
Requirements that are still outstanding. Upload documentation (if available) or submit it to your school coordinator for review. If your requirement document is " pending," the requirement will appear incomplete until the document is reviewed and approved by your school, clinical site, or third-party vendor.
Expiring Requirements:
Requirements that expire soon. Upload documentation (if available) or submit it to your school coordinator for review. You do not have access to resubmit your expiring requirements until 60 days before the expiration date in ACEMAPP.
Requirements:
Requirements that are completed. No action is needed at this time.

If the school or clinical site allows you to upload, manage, or complete your requirements within ACEMAPP, a "Manage Documents" button will appear next to the requirement.

If there is a "View Description" button next to the requirement and no "Manage Documents" button, your requirement is managed outside of ACEMAPP. Check to see if you have a Vendor listed and if there are instructions from your school in the Announcement area on your home page.

Please contact your school coordinator for information on submitting your documents if your school manages these requirements outside of ACEMAPP.

Custom Fields

Your school or clinical site may want to capture specific information from you. This is collected in the "Custom Fields" section of your home page.

Custom fields can also be found in your "Profile" in the Custom Fields section. Click the "Edit" (pencil icon) button, enter the required information, and click "Save."

NOTE: Custom field completion affects overall compliance.

Learning Materials

Your school or clinical site may also require that you take a series of courses and assessments to meet compliance.

If required, these items appear in the "Learning Materials" section of your home page, below the "Custom Fields" table. In ACEMAPP, modules deliver the necessary information to complete the related assessment.

To take a module or assessment, click the "View Module" or "Take Assessment" button to open the course or assessment. Once the assessment is completed, the "Take Assessment" button is no longer active, and you will see a green check. The expiration date is extended for 1-year. NOTE: A dash indicates that the requirement is not affecting your compliance.

Checking Compliance

Your home page's "Affiliations" section shows your compliance.

You must check the "Compliance" column for your school and each rotation you are assigned to in ACEMAPP. A green check indicates that you have completed everything in ACEMAPP. A red "X" means that you have incomplete items. By the Red "X", you can see what must completed to show compliance.

NOTE: Pending items are considered incomplete until the school or clinical site approves them.

Third-Party Vendors

ACEMAPP interfaces with several third-party vendors to simplify the compliance process by allowing you to link your ACEMAPP account directly to the associated vendor to satisfy specific compliance items. These items may include your Background Check, Drug Screen, BLS, and Immunizations.

If your school or clinical site utilizes a third-party vendor integration, the associated vendor logo appears in the "Vendors" section on the left side of your homepage.

What is ACEMAPP?
ACEMAPP is a secure, online, clinical rotation matching, student onboarding, and document storage solution for clinical sites, schools, and consortiums.
Custom Fields
Your school or clinical site may gather information using Custom Fields. Custom Fields are located on your home page and can also be accessed through the Custom Fields tab of your profile.
Integrated Vendors
We work with various third-party vendors to help streamline your background check and/or immunization processes. Contact us so we may consult with you on whether your most efficient process will include working with one of our vendor partners or whether another process may be recommended.
Forgot Password
After your ACEMAPP is created, you will receive a verification email and a link to set your password to log in. You can easily reset your password if you cannot find the set password link with the "Forgot Password" option.
Resending Email Verification Link
You will not be able to access your account without verifying your email. We will send a verification email to each email address on your account. Please check your email inbox, including spam folders, and click the link provided within the email to complete the verification process. Verification emails are valid for seven days, after which they will expire.

Membership Period: How to Make a Payment
Your membership date is set by your School Coordinator upon registration into ACEMAPP, and is good for one year. This information is located on the left-side of your dashboard in the "Membership Period" window.
