FAQ - Guest Schools

Here are some common questions and answers for setting up your student(s) in ACEMAPP. This guide provides helpful information on the entire process, from logging in to managing your students' compliance.

What is ACEMAPP?

ACEMAPP is a secure online clinical rotation matching, student onboarding, and document storage solution for clinical sites, schools, and consortia. You will be able to connect your student(s) with their clinical site for your student to complete the onboarding process.

I need help logging in.

Please locate an email from ACEMAPP in your email account. This email will provide information on creating your password to get logged in.

I am unable to find my Welcome Email from ACEMAPP.

Please check your Inbox and Spam/Junk folders. If you cannot find this email, please get in touch with our Support Team.

Where should I begin?

To get started, your first step will be to Request a Partnership in ACEMAPP. Once you send this request, you must wait for your Partner to approve the request. In the meantime, you can create your student account (s). Once your Partnership has been approved (showing in your Active Partnerships in your Partner Directory), you can Create A Rotation Request. Once your rotation request has been submitted, you can Assign Your Students. The last step is to make sure your student completes all of their requirements and assessments (Managing Student Compliance). This may include reviewing documents and entering completion dates.

What if I need help finding the Clinical Site/Partner in my Partner Directory?

You may type in the Partner Entity box to find your Partner. If you are unable to locate the Partner, please get in touch with Customer Support.

I am unable to create a rotation request.

Please check that the Partner you are requesting a rotation with is listed in your Active Partnerships in your Partnership Directory.

What if my student(s) already has an ACEMAPP account?

You can send an invitation to this student using the same email address as their existing account using Create New Member Account. Please confirm this email address with the student. The student can also add an email address to their ACEMAPP account.

NOTE: The member MUST log in to their ACEMAPP account and approve this request before the member appears as active in your Affiliated Member's table.

How do I know when I have completed the ACEMAPP process?

Once your student(s) rotation has been approved, and your student(s) is fully compliant, your student(s) is ready to begin their rotation, and you have completed all of the necessary steps.

When will I receive an invoice?

If your organization pays for your student's annual membership fees, you will receive an invoice the month after the student account was created. For example, if you create your student's account in January, you will receive the invoice in February.

What does Guest School status mean?

ACEMAPP considers your school/program a guest school if you add at least five students yearly. If your student load increases and you have more students, we will reach out to discuss additional features available as a Member school.

What could I complete in ACEMAPP as a Member school?

Additional features that a member school could utilize include management of all clinical partners (even if that partner is not in ACEMAPP), keeping track of and managing partnership agreements with clinical sites, management of all student schedules, delivering evaluations to students and faculty, allowing students to keep track of hours at rotations, managing all required items in one place (requirements, acknowledgments, courses, assessments), and more.
