Managing Applications for Institutions

ACEMAPP Applications can serve several purposes. Applications can assist with rotations, affiliation requests, employee affiliations, etc.

NOTE: Some applications may be restricted for you; please contact ACEMAPP Support for assistance.

Reviewing and Approving Applications script

View Your Applications

Step 1:

From your home page, click the "Applications" button.

NOTE: If you do not see this icon on your home page, click the "More" button on the right, then click "Applications" to open the Applications page.

Step 2:

View the Applications Table, which displays all Applications for your location.

The Applicants List

Step 1:

From the Applications table, click the "Applicants List" button.

Step 2:

This table shows all approved, denied, and pending applications. On this table, you can also, Approve/Deny and Leave Comments on an application, as well as View their ePortfolio of an applicant, or Delete an application submission. This list will not show archived-deleted applications.

View Submitted Applications

Step 1:

From the Applications table, click the "Complete List" tab, found at the top of the table.

Step 2:

While viewing the list, you can click to view applications that are still Pending, already Denied, or Approved, by selecting the appropriate tab. This is a detailed list of all applications, including archived-completed and archived-deleted applications.

Step 3:

Export the list as a .csv by clicking the "Export" button.

To View/Approve/Deny Applications

Step 1:

While on your home screen, when an application is submitted, you will receive a notification. In the Notification Panel, click the orange "You have pending application entries" button. This will then open the Applications page.

Step 2:

Click either the "List" or "Queue View" button.

Clicking the List button opens a table of all submitted applications. You can click the "Edit" (pencil) icon to view the submitted Application, fill in additional information, and then Approve or Deny the Application. Or click the "ePortfolio" (rocket) icon to open their ePortfolio.

Clicking the Queue View button will open the submitted applications, so you may view them in order by clicking the Previous or Next buttons. Image shows previous and next buttons in queue view.

Step 5:

Regardless of your choice, the Application may have additional fields available to fill in. Fill in all required fields as needed. Click the "Save" button to save your changes.

NOTE: Once a rotation application is approved, depending on your organization's setup, a pre-approved requested rotation may be created. You will see a notification for any "pre-approved" requested rotations until they are moved to another status.

To View/Leave Comments on Applications

You can leave comments on rotations for applicants to see and respond to if necessary,

Step 1:

On the Applications page, click the "List" button. image shows where the List button is located

Step 2:

Find the Application you would like to comment on and click the "Comments" button. image arrow pointing to the comment button

Step 3:

Click on the "+ Add Comment" button. image location of Add Comment button

Step 4:

Type your comment for the Application in the "Comment" box and click the "Save" button when you are done. image Where to type and leave a comment and the Save button below the text box

Step 5:

The comment you saved will appear in the Entry Comments table. image the comment typed in the previous step is shown in the table

Send the Link to the Application Directly

Step 1:

Click the "Info" button in the Applications table.

Step 2:

On the Info page, you will need to Copy the URL to paste for your use.This page also provides at a glance some Counts on Approved, Pending, Denied, Deleted, Withdrawn, and any Pending Submissions (submissions by members still in the middle of submitting).

Optional Feature: Application Auto-clean on Closed

This feature is optional and set during the creation of the application. When an active application is set to Closed, it will take all non-approved (any Pending) applications and delete them.
