Member Types:

If your organization pays for member accounts (i.e., Students), you will receive a notification on your ACEMAPP home screen. This notification will let you know when you have upcoming invoices containing member accounts about to expire.

For organizations that absorb the cost of ACEMAPP for their members (i.e., Students), the upcoming invoice notification provides you a list of all member accounts set to expire within 60 days. On your invoice, you can extend their memberships, reset their Access End Date, or do nothing.

  • NOTE: If you choose to do nothing, the organization will be invoiced for the member's ACEMAPP account based on their Membership Expiration Date, and the member will remain active in the system until their Access End Date.

Step 1:

On your home screen, in the Notifications panel, click the "Upcoming Invoice" notification to open the Upcoming Invoices screen.

Step 2:

This screen lists all members whose ACEMAPP accounts are set to expire within 60 days.

The list provides you the member's Name (first & last), their Membership Expiration Date, the member's Access End Date to your organization, the Rotation End Date for any rotation(s) they are currently assigned to, the associated Program(s), and any Tags your organization uses.

Extend Membership

If any members listed need to use ACEMAPP for another year, please select the member and select "Extend Membership". The member's membership fee is added to your organization's next invoice for member fees.

While on the Upcoming Invoices screen, select the member(s) whose memberships you wish to extend.

NOTE: There is a time limit (5 minutes) on the "Extend Membership" and "Do Not Extend Membership" buttons. Once one of the buttons is clicked, the timer starts. This allows the system time to update and recalculate member information.


Do Not Extend Membership

If there are members n the list that will not need ACEMAPP after their current expiration date, please select "Do Not Extend Membership" and ensure that they have an Access End Date that is BEFORE their Membership Expiration Date (i.e., if the member's expiration date is 1/1/2021, make sure their Access End Date is set to at least 12/31/2020). This will ensure that these members are not added to the next invoice.

While on the Upcoming Invoices screen, select the member(s) whose memberships you do not wish to extend.

Do Nothing

If you choose to do nothing, the organization will be invoiced for the member's ACEMAPP account based on their Membership Expiration Date, and the member will remain active in the system until their Access End Date.
