Understanding the "Is This Roster Complete?" Toggle in ACEMAPP

Managing clinical rotations in ACEMAPP requires careful attention to detail, especially when it comes to roster submissions. One critical feature that helps streamline this process is the "Is This Roster Complete?" toggle. This setting determines when and how your rotation roster is sent to the clinical site, ensuring accuracy and compliance. Here’s what you need to know about this essential tool.

What Does "Is This Roster Complete?" Mean?

At the bottom of the rotation member assignment page, you’ll find the "Is This Roster Complete?" toggle, which is set to "Yes" by default. This setting plays a crucial role in the roster submission process. It is essentially asking: Have you finished assigning all members to this rotation?

  • If you have finished assigning members, you can leave the toggle set to "Yes." Once the clinical site approves the rotation and all assigned members are compliant, the system will send the roster to the clinical site.

  • If you are still adding members, set the toggle to "No." This prevents the roster from being sent before all participants are assigned. Keep in mind that you will have to manually send the roster when toggled to "No."


Manually Sending a Roster

While ACEMAPP automates roster submission when toggled to "Yes.," you can also manually send the roster when needed. To do this, use the "Run Roster Sender" feature, typically found under the "More" tab in the rotation edit menu. You must use this option if toggled to "No."

Best Practices for Managing Rosters

To make the roster submission process as smooth as possible, follow these best practices:

  1. Assign All Members at Once: Whenever possible, complete all assignments in one session. This ensures the default "Yes" setting functions as intended, allowing the system to handle submission automatically.

  2. Check Member Compliance: Ensure that all assigned members meet the necessary compliance requirements.

  3. Use "No" for Incomplete Rosters: If you anticipate adding more members later, set the toggle to "No" to prevent premature submission.

  4. The roster will not be sent unless the rotation has been approved and all members are compliant.
