Tips for Implementing a New Clinical Education Process


For over a decade, the ACEMAPP team has helped implement a streamlined process for hundreds of schools and clinical sites. While the process is different for each organization, we’ve come up with 5 tips to make your transition to a new process seamless.

1. Review the technology you’re currently using for clinical education. By taking stock of the accounts you and your partners use for clinical education, you can identify redundancies and potentially save costs. There’s no reason you can’t use a single platform for your learning management, onboarding, compliance tracking, scheduling, messaging, and more.
2. Invite your entire team to be part of the conversation. We get it, you do a majority of the clinical education work at your organization, and it makes the most sense for you to attend the planning meetings and undergo the training. However, your colleagues in clinical education, recruitment, administration, IT, and more bring unique perspectives and may bring ideas to the table that you haven’t thought of yet. If they know what technology is being implemented and how it can benefit them, we can make sure your process includes them when needed. They are welcome to attend any training sessions and have their own accounts with permissions specific to their role.
3. Make a list of what’s working and what’s not. You wouldn’t be looking for a new solution if your current process didn’t have its issues, but that doesn’t mean it was all bad. Maybe you were collecting surveys that were helping you make informed decisions, or your spreadsheets gathered the exact information you needed for badging, or perhaps your process involved a regular meeting with your school and clinical site colleagues. It’s okay to bring those positive techniques to your new process while ditching some of the negative aspects, like storing documents in an unsecured environment or manually updating spreadsheets every day.
4. Consider a pilot period. If you have partners who may be weary of starting a new process after years of following the same routine, consider inviting one or two partners to participate in a trial run with you. By the time your pilot year is up, you’ll have a better idea of how beneficial the new process may be to you all.
5. Work with experts to establish a plan. The ACEMAPP team has over a decade of experience convening school and clinical site partners to create a streamlined method for clinical education.
